Summary:

Tomaintain effective and accurate records of all Personnel documentation andreports, communicating requirements to all departments and actively followingup to ensure documents and reports are received back by the required date. The job incumbent works in line with thehotel's guidelines and business plan, and Wyndham Hotel Philosophy.

KEY RESPONSIBILITIES

1.RECRUITMENT:

  • Manage and update applications receivedand update the current data based on our recruitment channels.

  • Schedules candidates for interviews asadvised by the DOHR

  • Conducts interviews as and when requiredfor non-management position

  • Contacts unsuccessful candidates viatelephone, letter or e mail to offer "Regrets"

  • Maintains accurate files of allapplications for employment received, clearing out on a monthly basis.

  • Prepares and sends out "ReferenceCheck" requests, actively following up to ensure all are received back ina timely fashion

  • Prepares offer letters based oncandidates Grading Status and package details, maintaining soft copies untilemployee commences employment.

  • Opens "New Starters File" foreach recruit following up with GR Officer in regards to work permit and visarequirements, ensuring all are in hand prior to start date

  • Liases with Accounts Department toarrange flights for incoming employees as well as airport pick up ensuring GROfficer is aware of the arrival date for original visas to be ready

  • Communicates with new recruits on aregular basis to ensure they are updated on recruitment process status.

  • Liases with HR Manager forHouse allocations.

  • Update Department Heads/ concerneddepartments on recruitment status of new hires and confirm when new joinersshould report.

  • Upon receipt of recruitment request formfrom Head of Department, prepare summary of all vacant positions forwarding toDOHR on a monthly basis.

  • Update head count report weekly forhotel.

  • Ensures all required documentation isprepared and available on new hires start day - Employee Handbook, Uniform request, locker assignment, punch card, GMs personalized Welcome Letter,Name Badge, GOSI registration, position’s job description, Personal Inductionschedule and Iqama formalities.

  • Ensure Welcome package is ready

  • Enters new employee into Manning list

  • Ensures all required documents arereceived by effective use of "Employee Documentation Checklist

  • Liaises with HR Manager to ensure“Change Of Advice" is prepared with all correct information, following upto ensure speedy submission to Accounts Department and follows up on return.

  • Prepares employee contract based onemployees Grading Status and benefits package, meeting with employee to reviewand sign within three days of hire.

  • Co-ordinates with Government RelationsOfficer to ensure Government medical check is carried out within first week of employment.

  • Take minutes on monthly staff committeemeetings.

2.STAFF DEVELOPMENT:

  • Prepares and sends out to concerned Departments"Probation Reports," tracking and following up to ensure all arereceived back by the required date

  • Passes Probation Reports on to DOHR for their review prior to filing

  • Prepare “Confirmation Letters" to be issued uponsuccessful completion of probation period.

  • Issues "Performance Review" reports toconcerned HODs to ensure all employees have bi annual review, following up onreturn.

  • Advises DOHR of training and development needsidentified on Performance Reviews

  • Assists DOHR to schedule and conduct training sessions.

Others :

  • Keeps accurate records of employee contract renewal dates,ensuring Contract Renewal Forms are issued to concerned HODs at least 3 monthsprior to contract expiry dates, following up they are received back fromDepartments for submission to GMs office one month before expiry date.

  • In coordination with DOHR, carry out Exit Interviews andmonthly report forwarded to DOHR.

  • Liaises with DOHR to ensure Change Of Advice is issuedin regards to Contract Renewal and confirmation letter sent to employee

  • Liaises with DOHR to ensure acceptance of resignationand leaver’s checklist issued to all employees resigning from service.

  • Liaises with Accounts Department to ensure finalsettlement payments are issued to employees on their last working day.

  • Compiles and issues to HODs, monthly report onemployee's vacation balance status.

  • Prepares payroll

  • Prepares monthly HR report, keeping accurate andorganized records

  • Ensures all filings are done on a daily basis with noback log

  • Active involvement in organizing staff activities.

MISCELLANEOUS:

  • Promotes anenergetic and ‘can do’ attitude to employees by setting a positive example atall times

  • Communicateseffectively with guests, colleagues, and superiors.

  • Handlesdifficult situations effectively.

  • Attendsmeetings and training required by management.

  • Is fully awareand acts as a brand ambassador for Wyndham Hotel in all interactions.

  • Is fully awareof all current promotions within the hotel.

  • Acceptsflexible planned work schedule necessary for uninterrupted service to hotelguests.

  • Maintains ownworking areas, and materials clean, tidy and in good shape; reports defectivematerials and equipment to the Director / HR Manager

  • Continuouslyseeks to endeavour professionalism in own job function.

  • Maintainsproper grooming standards at all times and ensures other staff do likewise.

  • Hotel fire,bomb and emergency procedures.

  • Hotel healthand safety policies and procedures

  • Hotelfacilities and nearby sights of interest and importance (i.e. hospitals,stations, tourist sights).
